Withdrawals, refunds and re-credits

Withdrawal and refund process

To apply for a refund of fees paid you must officially withdraw from your program or subject/s within your program in which you have registered for study by completing an Enrolment Amendment Form.

This form can be accessed by speaking to the Administrative staff in your Teaching Department. Once completed and signed the Form will be forwarded to the Information Office for processing.

Your refund requests are conditional on any debts to Holmesglen being paid in full or the outstanding amounts will be deducted from the refund.

Fees are due before the classes start.

To be eligible for a refund you must withdraw within 28 days of the subject/s start date and you may receive a refund of your tuition fees, subject to any conditions placed on your fees. Activity fees may be refundable conditional upon Teaching Department approval.

To be eligible for a refund or re-credit of your FEE-HELP balances you must withdraw before the Census Date. The amount of refund will be equal to the amount paid or re-credit of your FEE-HELP balances will be equal to the amount used to pay your tuition fees.

There is no refund or re-credit if your withdrawal occurs after the Census Date.
There is no refund of the Amenities Fee for Higher Education programs.

If you have signed a Payment Plan Contract and withdraw after the Census Date, you will still be required to pay any outstanding balances of your tuition fees. Explanation of Re-Crediting FEE-HELP balances can be seen below.

Your FEE-HELP balance can be re-credited under Part 6 of the VET Student Loans Act. If you withdraw after the Census Date relevant to the subject/s in your program because you became seriously ill or for other special circumstances you may be able to apply for a refund of amounts paid or re-credit of your FEE-HELP used to pay your tuition fees.

For Holmesglen to consider your application you must be able to prove that the special circumstances:

  • were beyond your control, and
  • did not make their full impact on you until after the Census Dates for withdrawal from the subject/s in the program, and
  • made it impractical for you to complete your studies in the subject/s in the program.

Please note that if you withdraw after Census Date because you changed your mind about studying, you will not be eligible for a refund or re-credit.

Please apply in writing and attach original supporting documentation to prove your special circumstances, addressed to the Registrar no later than 2 months after the start date for the subject/s relevant to your registration when seeking for a refund.

Application for re-crediting of your FEE-HELP balance (HECS-HELP, FEE-HELP, VET Student Loans or VET FEE HELP Loans) must be made within 12 months from the Census Dates of the subject/s in which you have registered.

Your application will be assessed and you will be advised of the outcome at no additional cost to you.

The amount of re-credit will be the amount equal to the HELP Loan, VET Student Loan (or VET FEE-HELP Loan) that was used to pay your tuition fees for the subject/s in the program.

You may also apply for re-credit of your FEE-HELP balances under section 71 of the VET Student Loans Act to the Australian Government within 5 years from Census Date, if you reasonably believe that Holmesglen, or a person acting on Holmesglen's behalf, engaged in unacceptable conduct in relation to your application for the VET Student Loans, or Holmesglen has failed to comply with the VET Student Loans Act or an instrument under the Act and the failure has adversely affected you.

If your application for re-crediting of FEE-HELP balances is unsuccessful, you may also seek a review and reconsideration of the re-credit decision by following Holmesglen's internal appeal process at no charge, or apply for a review by the Administrative Appeals Tribunal (charges apply). The Australian Government may re-credit your FEE-HELP balances in relation to special circumstances in which Holmesglen is unable to act or is being wound up or has been dissolved, or has failed to act.

Holmesglen will not automatically enrol you in the subsequent subject/s in a program in which you had enrolled after withdrawal. You will need to contact the Information Office for further assistance.

Holmesglen may cancel or suspend your enrolment for specific reasons, such as financial debt, unsatisfactory academic progress, unsatisfactory attendance, discipline actions arising from misconduct in violation of the Student Rights and Obligations.

You will receive written notification of the proposed cancellation and will have 28 days to initiate grievance procedures before the cancellation takes final effect. Cancellation will not take effect until the grievance process initiated by yourself have been completed.

You will not be eligible for a refund of tuition fees paid if you have withdrawn after 28 days of the subject/s start date or re-credit of FEE-HELP balances if you have withdrawn after the census date for the subject/s in which you had enrolled.
